A delegate arriving for meetings in Davos may have three different people managing the journey: an executive assistant, a travel organiser and a host at the destination. The useful starting point is to connect those responsibilities before the aircraft lands. An airport transfer should have one passenger list, one destination instruction and one person authorised to change the plan. This guide explains how to create that handover without circulating the delegate’s entire itinerary.

Separate landing from readiness

The published arrival time describes the flight, not the moment a traveller can leave the terminal. Passport formalities, baggage collection and a short personal stop may all sit between landing and meeting the chauffeur. Provide the operating flight number and the calendar date in Zurich. If an assistant books from another time zone, label local times explicitly. The passenger should send a short update if delayed baggage or another airport procedure changes their readiness after arrival.

Choose the first real destination

A hotel name and a meeting venue can be different destinations even when both appear on the same invitation. Decide whether the first stop is hotel check-in, badge collection or a meeting address. Include the street address and a host contact where practical. If luggage needs to be left at a hotel before an appointment, request both stops in the quotation. Do not rely on a driver inferring the sequence from a forwarded event programme.

Arrange a recognisable meeting

Agree the meeting instructions in writing and save them offline. A name sign can use an agreed surname, company name or other discreet identifier. Tell the passenger which identifier to expect and how to contact Airportcab if they cannot find the meeting point. A late change to the sign should go through the same organiser who controls the booking, so the airport team and traveller are not following different instructions.

Treat event access as a separate task

Airportcab is an independent transport provider. A confirmed journey does not supply a WEF invitation, event badge or permission to enter a restricted area. Ask the meeting host about the appropriate entrance and consult the authorities’ information for the relevant event year. The confirmed vehicle endpoint may need to be outside a controlled perimeter. Leave time for any onward walk, checks or host escort instead of treating arrival at the road address as arrival inside the meeting.

Close the handover in writing

Request a quotation with passenger count, luggage, flight details, first destination and any intermediate stop. Confirm who receives the booking email and who can answer during the journey. Keep the passenger’s own mobile number available to the dispatch team with their knowledge. A request reference shows that details were submitted; the agreed fare and availability still need written confirmation. Before travelling, share the final instructions with the guest and the receiving host rather than forwarding several earlier drafts.

Questions about this journey

Can the car go straight to my first meeting?

Request the exact address and entrance. Access, luggage arrangements and the timing must be confirmed separately.

Does my transfer include WEF admission?

No. Invitations, accreditation and entry permission remain with the event organiser and relevant authorities.

Who should report a baggage delay?

The passenger or their designated organiser should contact Airportcab and quote the journey reference.
