A business traveller’s equipment can look like ordinary luggage in an email but require a different transport arrangement in practice. A presentation case accompanying its owner is not the same request as collecting boxes from a supplier or delivering materials to an event loading bay. Describe the task accurately before a vehicle is quoted. This guide helps organisers establish whether they are requesting a passenger journey, an additional collection or a separate logistics service.
Describe what travels with the passenger
List the number, size and approximate handling requirements of cases or equipment accompanying the travelling party. Explain whether an item is fragile, unusually long or cannot be stacked. Do not send confidential contents when the physical dimensions are what dispatch needs. Suitability must be assessed alongside passenger seating and ordinary suitcases. A vehicle that has enough seats may still be unsuitable for the combined equipment load. Include the return load if it differs from arrival.
Identify unattended collections early
If the driver is expected to collect property without its owner, state that explicitly rather than adding a vague note about a package. Passenger transfers do not automatically include courier work, unattended delivery or responsibility for event stock. Ask whether the separate task can be considered and what arrangements would apply. Do not send goods to a meeting point or assume that the passenger booking establishes acceptance of an unconfirmed delivery assignment.
Separate passenger entrances from loading areas
An event venue may direct delegates to one entrance and deliveries to another. Davos Congress publishes distinct entrance information, including a delivery entrance; that distinction illustrates why an address alone may be insufficient. Obtain the host’s current instructions for the actual purpose of the visit. A passenger vehicle should not be routed into a loading operation based on a delegate invitation or an old supplier’s map.
Agree custody and handover
For any accepted equipment movement, identify who places the items with the travelling party and who receives them at the destination. Keep important personal documents and essential devices with their owner where appropriate. If special handling, security or insurance requirements apply, raise them before confirmation rather than treating them as an assumed part of a normal transfer. Dispatch should be able to understand exactly what practical task is being requested.
Request the complete itinerary
Include additional pickup addresses, loading time requests and destination instructions in the original brief. If an equipment collection is added later, obtain an updated confirmation and any revised quotation. Do not let the passenger discover at the airport that the car is expected to visit an unrelated depot first. During WEF activity, check access requirements for the relevant year and distinguish them from the passenger’s personal admission or accreditation.
