Business travel changes, and a transfer may need to be moved or cancelled when a meeting, flight or guest list changes. The important first step is to distinguish those outcomes. A postponed flight does not always mean the whole journey should be cancelled, and a cancellation request is not the same as a confirmed cancellation. Communicate the intended result clearly, using the journey reference and the terms agreed for that booking.

Identify the affected service

State which movement is changing: airport arrival, a local journey, an hourly reservation or the airport return. Include its date and reference. If only one leg of a return arrangement is affected, say so explicitly rather than asking to cancel the booking without qualification. Check the final confirmation before writing, because an earlier quotation may contain provisional movements that were never accepted. A precise instruction reduces the risk of altering the wrong service.

Separate cancellation from rescheduling

If the guest still needs transport on another date or flight, request a revised arrangement and ask dispatch to confirm availability and any changed price. Do not assume that an existing reservation transfers automatically to a new date. If the journey is no longer required, state that directly. The organiser should know which outcome the company wants before sending instructions, especially when different colleagues are discussing different alternatives.

Consult the agreed conditions

Review the cancellation, amendment and payment conditions supplied with the actual booking. This guide does not establish a universal free-cancellation period or refund entitlement. Different individually agreed services can have different conditions. If the commercial outcome is unclear, ask for an explanation referencing the confirmed arrangement. Keep any deposit or payment reference available so the booking team can connect the request to the correct transaction without guessing.

Wait for a recorded outcome

Ask for written acknowledgement of the cancellation or accepted amendment. Retain the response with the booking reference and inform the traveller and receiving host. An unanswered message or an internal calendar deletion is not evidence that dispatch has cancelled the vehicle. If pickup is close, contact Airportcab directly on +41 79 177 24 24 to make the request clear, then keep the written record of the agreed outcome.

Reconcile the remaining itinerary

After a change, review any unaffected transfers and passenger allocations. A cancelled arrival does not necessarily remove the return requirement; a guest might arrive by another means. Ask the organiser to circulate the final remaining plan so the team does not act on old instructions. Check any agreed commercial adjustment against the payment record. Keep correspondence focused on the service details and authorised decision, without forwarding confidential reasons for a meeting cancellation unless relevant.
