A successful form submission means that the team has received a request. It is not the same as an accepted reservation. Keeping the enquiry, quotation and confirmation stages separate helps you understand what still needs a reply before travel. It also prevents a colleague from assuming that a vehicle is booked simply because somebody has forwarded a request reference or selected a preferred category.

The enquiry describes what you need

Enter the route, full local date, time, party, luggage and contact details accurately. Add child seats, unusual equipment or specific access needs at this stage. Your request reference identifies the enquiry so the team can find it again. It does not by itself confirm vehicle availability, the final fare or every requested extra. Keep the reference when adding information rather than submitting several unexplained duplicate requests.

The quotation defines a proposed service

Read the proposed route, vehicle, date and total alongside any waiting, stop or amendment conditions supplied. Davos fares are quoted for the requested journey; there is no reason to infer a price from another route or another traveller’s itinerary. Check that a return leg has not been omitted and that the real return address is included. Raise missing details before accepting the offer rather than assuming they are understood.

Your reply resolves the open questions

If the quote suits your plan, respond through the agreed channel with the booking reference. If you need a change, explain it precisely: a different date, another address or a revised passenger count. A reply such as okay can be ambiguous when several versions are circulating. Identify the version you are accepting and ask for a revised quotation if the requested service has materially changed.

The confirmation becomes the working itinerary

Once the team confirms the reservation, check the pickup details, vehicle arrangement, fare and any payment instruction. Forward that final version to the person actually travelling. A passenger should not have to interpret an email chain containing an old airport, an abandoned hotel and a provisional departure time. Keep the confirmation accessible offline, with the operational contact number and the current meeting instruction for the airport or property.

Later changes need another clear response

A hotel move, flight rebooking or added ski bag may alter the arrangement after confirmation. Contact the team promptly and obtain an updated instruction where necessary. Do not treat an unanswered message as automatic approval of the change. Before travel, make sure the organiser and lead passenger hold the same version. The practical objective is one clear reservation that the traveller, dispatcher and driver can all follow.

If you are booking for somebody else, tell them which stage the request has reached. Forwarding a quotation with the words your car can unintentionally make it sound confirmed. Use clear status wording until the team has accepted the reservation and issued the working details.

Questions about this journey

Does receiving a reference mean the car is confirmed?

No. The reference identifies your request. Wait for the team’s confirmation of availability and the agreed service.

Can I accept a quote and change the route in the same reply?

State the change clearly and ask for the revised arrangement to be confirmed; it may require a new quotation.

What should I forward to the travelling passenger?

Send the final confirmation with the reference, exact pickup details and current contact instructions, rather than only the initial request.
