A two-day business visit can involve one arrival, several local movements and an airport departure, yet those journeys do not necessarily form one continuous chauffeur reservation. Describe the pattern before asking for a price. Dispatch needs to know when transport is required on each day, where each service window begins and what level of continuity the organiser is requesting. The resulting quotation should state the actual arrangement rather than leaving overnight assumptions unresolved.

Write a day-by-day plan

Create a separate schedule for each local calendar date. Include the first pickup, known destinations, expected breaks and the final drop-off for that day. Add the airport flight details where applicable. If the passenger attends an evening reception, show whether transport is required afterwards. A phrase such as two days with driver can conceal a very long first day and an early second start, which need proper operational assessment.

Ask about continuity explicitly

If using the same chauffeur or vehicle is important to the guest, request it directly and wait for confirmation. Do not treat continuity as guaranteed merely because both days appear on one quotation. Operational scheduling, rest requirements and availability must be handled by the provider. The assistant’s role is to state the preference and required service, not to instruct a driver to remain continuously available between two dates.

Define the overnight boundary

Clarify the end of the first day and the beginning of the second. Ask what any proposed overnight arrangement includes and whether it changes the quotation. A passenger’s hotel booking does not provide accommodation or parking for a chauffeur automatically. Keep those operational arrangements with the provider unless specifically asked to coordinate them. The written scope should make clear when service is reserved and when no vehicle movement has been booked.

Treat airport legs as named movements

A Zurich Airport arrival or departure may occur outside the local meeting schedule. Include its exact date, flight and passenger details instead of assuming it is covered by the daily reservation. If the return pickup falls between 00:00 and 05:59 Europe/Zurich, the return fare carries the stated 20% night supplement. Ask how the full itinerary is priced and confirmed; do not add together unrelated advertised examples from another service.

Circulate one operational version

Nominate a contact who can approve changes across both days. When an appointment moves, specify which day and movement changes and confirm the effect on the rest of the itinerary. The traveller should receive the final daily pickup instructions without needing to read the entire quotation history. Keep the booking references linked to the company’s billing file. For hourly services, the eight-hour minimum applies to the confirmed booking arrangement discussed with dispatch.

Questions about this journey

Will the same driver cover both days?

Request that preference explicitly; continuity depends on the confirmed operational arrangement.

Is overnight standby automatically included?

No. The quotation should state the daily service windows and any specifically agreed overnight provision.

Should I list the airport return separately?

Yes. Include its pickup date, address, flight and passenger details even when it forms part of the overall quotation.
